Build a gym site with a booking form, then work the bookings, member roster, renewals, fees and trainers from the console that comes with it.

What a gym site is

A gym site is an ordinary SitesPlaced website plus a private console for the work behind it. The public pages have a hero, programs, trainers, a video tour, a blog and a booking form. The console is where those bookings land, alongside your member roster, renewals, fees and trainers. It suits a business that sells time rather than parcels: a gym, a studio, a dance school, a trainer, a physio or a coach.

There is no cart and no online payment. A booking is a request, and money is recorded by you after you collect it.

The console is free

Building the site, publishing it and using all six tabs costs nothing. There is no plan check anywhere in the gym console. A paid plan adds a custom domain, badge removal and AI writing.

Create your gym site

  1. 1From your dashboard, start a new site and pick Gym website + CRM. That flow only offers gym templates.
  2. 2Write the site with AI, or start from the template and edit it yourself. AI writing needs a paid plan; the template is free.
  3. 3The site is published as soon as it is created and you land on the console. Your address is yourname.sitesplaced.com; Edit website opens the builder.

The six tabs

  • Overview: cards for revenue this month, bookings, new requests, members due or overdue, trainers, and Live or Draft. Each card opens its tab.
  • Bookings: every request from your published site, newest first.
  • Members: your roster, with photos, renewal dates and reminders.
  • Revenue: your fee plans and the payments you have recorded.
  • Trainers: your coaching team and who can be booked.
  • Settings: the gym name, the web address and your WhatsApp number.

When a booking comes in

A visitor fills in the booking form on your published site. A name plus a phone number or an email are required. They can also pick a program, pick a trainer, suggest a time and leave a note. It lands in Bookings as Requested, and an email goes to the address on your SitesPlaced account.

Tap the row to open it. Set the status (Requested, Confirmed, Completed, No-show, Cancelled), set the time you are actually giving them, assign a trainer, add a private note, then Save details. Message on WhatsApp opens a chat with a thank-you line typed. Above the list are counts, a status filter and a search box.

Confirming a booking does not tell the customer

Changing the status is a note to yourself. No email, SMS or WhatsApp goes out when you mark a booking Confirmed or Cancelled. The form promises a reply within one business day, so press Message on WhatsApp and send it yourself.

Members, renewals and the due count

You add members by hand. Press + Member for a name (the only required field), a photo, a phone number for WhatsApp, an email, a tier such as *Monthly*, and a renewal date, which has presets of plus one, three, six or twelve months. Status is Active, Inactive or Frozen.

Everything about expiry hangs off the renewal date. Expiring 7d or less counts members renewing today or within seven days; Overdue counts those whose date has passed. The due or overdue figure on the Overview card is the two added together. Both groups get an orange border and a line reading *3d left* or *overdue*. A member with no renewal date is counted in neither.

The counts at the top are also filters, so tapping Overdue gives the lapsed list, most urgent first. To renew someone, open their card: Collect a payment records the fee and extends the renewal in one tap, and Extend without payment does the same dates without recording money. Both continue from the current renewal date if it is still ahead, and start today if the member has lapsed.

WhatsApp reminders

Open a member for three ready-written messages: Renewal, which fills in the tier and days left or says it is overdue, Win-back, and Custom. Edit any of them first. If the member has a photo, its link is added at the end, because WhatsApp cannot attach a file through a link.

Reminders are not sent automatically

Open WhatsApp opens WhatsApp with the message typed into a chat with that member. You press send yourself. Nothing is scheduled and nothing goes out on your behalf. The *Last reminded* stamp records the moment you opened WhatsApp, not delivery. Every WhatsApp button here works this way, the payment receipt included.

Fee plans and what the revenue figure counts

Start with Fee plans at the bottom of the Revenue tab. A plan is a name, a price, a length of 1 to 36 months, an optional description and an Active tick. Only Active plans are offered when you record a payment.

Collecting a fee is then one tap on the member's card: pick UPI, Cash or Card, then tap the plan. That records the payment, extends the renewal, marks the member Active and offers a WhatsApp receipt. The Record payment form on this tab is the fuller version, covering a walk-in, a custom amount, cash, UPI, card, bank or other, months covered, a Paid on date you can backdate, and whether to extend the renewal.

So the revenue figure counts one thing: the payments you typed into this console, added up by their Paid on date, for the current calendar month. Nothing is counted automatically, because a gym site takes no money online. A backdated payment lands in the month you dated it, and deleting a payment removes it from the total. Only the last twelve months are loaded, up to a thousand payments.

The rest of the tab is a twelve-month bar chart, this month against last, a count of overdue members, a month filter, a search box and Export CSV.

Trainers

Add a trainer with a name (required), a photo, a specialization, a certification, a phone number, an email, a bio and availability slots. A slot is two free-text boxes, such as *Mon to Fri* and *6 AM to 10 AM*. Status is Active (bookable) or Hidden. Active trainers appear in the trainer picker on your booking form and in the Assign trainer dropdown; hidden ones appear in neither. Slots are labels, not a calendar: nothing checks them, and nothing stops two people asking for the same slot.

This list is not the Trainers page on your website

The coaching team on your public Trainers page is written in the builder, as ordinary page content. Adding a trainer here puts them in the booking form's picker, not on that page. To show a new coach on the site, add them in both places.

Settings, publishing and which plan you need

Settings holds the gym name, the web address (the yourname part of yourname.sitesplaced.com) and a WhatsApp number. That number is saved on your site; the reminder and receipt buttons open a chat with the member's number, not this one. Publish and Unpublish sit in the header, and unpublishing takes the site offline while keeping everything in the console.

Publishing a gym site is free, and so is the console. Nothing in the six tabs is behind a paywall, and there is no cap on bookings, members or payments. A paid plan adds what surrounds the site: your own domain, removal of the SitesPlaced badge, AI writing, analytics and custom tracking code. Can customers pay for a membership online?

No. A gym site has no online checkout. The form collects a request; you take the money at the desk and record it in the Revenue tab.

Do renewal reminders go out on their own?

No. The console writes the message and opens WhatsApp with it ready, and you press send. Work the Overdue filter once a week and send them in a batch.

Why is my new trainer not on the Trainers page of my site?

That page is built in the website editor. The Trainers tab controls the booking form's picker and the assign dropdown. Add a coach in both places.

Do I have to pay to use the booking CRM?

No. The site, publishing and all six tabs are free. Paying adds a custom domain, badge removal, AI copy and analytics.
