Order email notifications
Get an email the moment a new order arrives, and send your customers an automatic order confirmation.

You don't have to keep refreshing your dashboard to catch new orders. SitesPlaced emails you at your account address the moment one is confirmed — the subject reads New order #<order number> on "<your store>" — and emails your customer a confirmation whenever they've given an email address. Both are on for every store, on every plan, with nothing to configure. If you use the SitesPlaced app, you also get a push notification on your phone. Prefer WhatsApp? When you get a new order
As soon as a customer places an order — whether they paid online via Razorpay, chose COD, or ordered over WhatsApp — SitesPlaced sends a New order email to the store owner. It includes the order number, the customer's name and the total, with a View Orders in Dashboard → button that opens your dashboard.
In full, the email lists:
- Order — the order number, e.g.
#MYSTORE-0012. - Customer, Phone and Deliver to — the name, phone number and full delivery address including pincode, so you can pack without opening the dashboard.
- Total in your store currency, and a Delivery: ⚡ Express line when the customer paid for express delivery.
- Items — each product with its quantity and unit price.
- A View Orders in Dashboard → button.
Exactly when it is sent
- Cash on Delivery, Bank Transfer / UPI and WhatsApp orders — immediately when the order is placed. These are confirmed on the spot.
- Pay Online (Razorpay) orders — only once the payment is verified. A customer who opens the payment window and closes it creates a cancelled order and no email, so you are never chased by orders that were never paid for.
Add it to your contacts
So these alerts never land in spam, add the SitesPlaced sender address — hello@sitesplaced.com — to your email contacts. Check there first if an expected notification doesn't appear.
Which address gets it
Alerts go to the email address on your SitesPlaced account — the one you sign in with. To send them somewhere else, change the primary email on your account: click your profile picture in the top-right of the dashboard, open Manage account, and add or switch the email address. Every store under the account uses the same address; there is no per-store notification email.
Push notifications on your phone
If you have the SitesPlaced app installed (Android, on Google Play) and are signed in to the same account, a New order push notification arrives at the same moment as the email, showing the order number, customer name and total. Your customer's confirmation
When an order is placed, SitesPlaced can also email the customer an order confirmation — their order number, what they bought, the total, and their delivery details — so they have a record and feel reassured.
The subject is Order confirmed! #<order number> — <your store>, and the email shows:
- An items table with variant, quantity and line total, then the shipping fee (marked *Express* when chosen), any COD charge, and the total.
- The payment method in plain words: Cash on Delivery, Paid Online or Bank Transfer / UPI. On a Bank Transfer / UPI order a How to pay box follows, with the UPI ID, bank details and payment instructions from Settings → Payments & invoices — or, if you have not filled those in, a line saying you will share them.
- The delivery address, phone number and any note they typed at checkout.
- A link to your storefront's Track Order page, where they can enter the order ID any time.
The confirmation is sent only when there is an email address on the order. Keep the Email field shown — and ideally Required — under Settings → Checkout → Checkout form fields if you want every customer to get one. Orders placed through WhatsApp checkout use the same form, so they get a confirmation too when the email field is filled in.

Good to know
- Status changes don't send emails. Marking an order shipped or delivered updates the Track Order page and the order's activity log, but no email goes out. Share the tracking link on WhatsApp from the order drawer. (WhatsApp order notifications send the new-order alert and confirmation only — not status updates.)
- The email is a heads-up, not the record. Everything lives in the Orders tab; the Needs action filter there shows orders still pending or confirmed.
- Emails can't be switched off per store. If the volume is too much, filter them in your mail app by the subject prefix *New order #*.
- Customer messages from your contact form arrive as a separate *New inquiry* email and live under Messages, not Orders — see Customer messages.
Troubleshooting
- No email, but the order is in the dashboard — check spam/promotions, and confirm the order is Confirmed rather than Pending (an unpaid Razorpay order sends nothing until it's paid).
- Customer says they got no confirmation — open the order: if there's no email under the customer's name, none was captured at checkout. Send them the invoice instead (Invoices).
- Emails go to an old address — your account's primary email is still the old one. Update it under Manage account; the change applies to the next order.
I didn't get an email for an order — what now?
First check your spam/promotions folder and confirm the order really came through in the Orders tab of your dashboard. Orders always appear there even if the email is delayed. If emails consistently don't arrive, contact support.
Can I change which email address gets the alerts?
Order notifications go to your SitesPlaced account email. To change where they land, update the primary email under Manage account (profile picture → Manage account) or reach out to support.
Will the customer always get a confirmation email?
A confirmation is sent when we have the customer's email address. WhatsApp-only orders may not include an email, in which case you'll confirm with them directly on WhatsApp.
Are order emails free?
Yes. The new-order alert, the customer confirmation and the app push notification are included on every plan, including the free plan. Only WhatsApp Business API messages from your own number need the Growth plan — see Pricing.
Does the customer get an email when I ship the order?
No — status updates show on the Track Order page and in the order's activity log, but aren't emailed. Share the tracking link on WhatsApp from the order drawer (WhatsApp order notifications cover the order confirmation only, not shipping updates).
