How to avoid double bookings at your homestay — when you sell rooms on several sites at once

Double bookings happen when the same night is on sale in two places and one doesn’t know the other has sold it. The fix is one calendar that is the source of truth: every booking (app, phone, WhatsApp, walk-in) goes there first, and you close the same nights everywhere else straight after.

Key takeaway: calendar links between apps help, but they only share blocked dates and they lag by hours. Do not trust them to protect your busiest weekends. Pick one main calendar, make one person responsible for it, and follow a five-minute rule: any new booking, from anywhere, is entered there and closed on every other app within five minutes.

TL;DR

  • • Why it happens: several apps, calendars that update hours apart, and bookings kept in a notebook or a phone.
  • • One calendar is the truth. Nothing is confirmed until it is there.
  • • Calendar links (iCal) share blocked dates only and refresh every few hours; Airbnb says every 3 hours.
  • • The five-minute rule: add the booking, then close the other apps.
  • • SitesPlaced sells each room-night only once, including bookings you add by hand. There is no automatic sync with the apps yet.

Why double bookings happen

A room in a homestay is often for sale in several places at once: Airbnb, Booking.com, maybe MakeMyTrip or Goibibo, your own website, and your phone. Each place keeps its own calendar. A double booking is simply two of those calendars saying “free” for the same room on the same night at the same moment. The common causes:

  • 1. Lag between apps. A guest books your Deodar room on Booking.com at 9 p.m. Airbnb does not find out until its next calendar check, and another guest books the same room there at 10 p.m.
  • 2. Phone and WhatsApp bookings in a notebook. You say yes to a regular on the phone and mean to update the apps later. Later does not come before someone else books.
  • 3. More than one person taking bookings. You take a call, your brother answers WhatsApp, your mother says yes to a neighbour’s relatives. Nobody checks with anyone.
  • 4. Listings that do not match rooms. Two “identical” rooms listed as one listing on one app and as two on another, so one app thinks a room is free when it is not.
  • 5. Closed dates that never reach the apps. The room is closed for painting on your own calendar but still open on Booking.com.

One calendar as the source of truth

“Source of truth” means there is one calendar that is always right, and every other calendar is copied from it. If the apps and your main calendar disagree, the main calendar wins and you fix the apps. It can be any calendar that shows each physical room on each date and that everyone who takes bookings can open on their phone. A paper register at the desk fails the second test.

Two rules make it work. First, one owner: a single person is responsible for the calendar being right, even if others can add to it. Second, nothing is confirmed until it is on the calendar. Not “I’ll add it tonight”: while the guest is still on the phone.

What calendar links (iCal) can and cannot do

iCal is a standard calendar-link format (the link ends in .ics). Airbnb, Booking.com and many other sites let you copy one site’s calendar link into another, so each site blocks the nights the other has sold. It is free and worth setting up between the apps, but know its limits:

  • It only carries blocked dates. No guest name, no price, no number of guests, no room type. It says “these nights are taken”, nothing more.
  • It is not instant. Airbnb’s help centre (October 2026) says imported calendars update every 3 hours; you can press Refresh sooner, but only a limited number of times. Other sites set their own timing. Two bookings inside that gap collide.
  • It works listing by listing. One link per listing, so it only helps if each listing is exactly one physical room, or the same group of rooms, on every site.
  • Cancellations lag too. A cancelled night can stay blocked on the other site until its next check, and Airbnb notes that nights you block elsewhere may not always carry over.

The next step up is a channel manager: paid software that updates your free rooms and prices on several apps at once through each app’s own connection. It suits properties with many rooms and bookings every day. For a homestay with a handful of rooms, a main calendar and the routine below usually do the job without the monthly bill.

The five-minute routine

Booking came fromWhat to do within five minutes
Airbnb, Booking.com, MakeMyTripAdd it to your main calendar against the exact room, then close those nights on every other app
Phone call or WhatsAppAdd it while the guest is still on the line, before you say “confirmed”
Walk-inAdd it before you hand over the key
Your own websiteIt is already on the calendar; close those nights on any app that lists that room
Family, painting, repairsClose the room on the main calendar and on every app, with a note saying why

Three habits catch what the routine misses. Every morning, look at the next seven days on the main calendar and on each app; it takes two minutes and finds mismatches before guests do. Map every app listing to the same physical room, by name, on every site. And on your busiest dates (long weekends, Christmas–New Year, Diwali), consider closing the apps for your last free room and selling it only by phone or on your own site, where you control the calendar.

What SitesPlaced does, and what it doesn’t

On a SitesPlaced homestay site, each room-night can be sold only once. The moment a booking is on the calendar, your website stops offering that room for those nights, and you cannot add a second booking for it by hand either. If you confirm bookings yourself, a requested room is held for the number of hours you choose, so nobody else books it while you decide.

The Calendar tab shows every room against every date. Tap to add a booking and choose where it came from (Phone call, WhatsApp, Walk-in, Airbnb, Booking.com or Somewhere else), or close a room for some nights with a note such as “Painting” or “Booked on Airbnb”. New website bookings reach you by email and as a push notification on the SitesPlaced phone app, so you can close those nights on the apps straight away.

What it does not do yet: there is no automatic sync with Airbnb, Booking.com, MakeMyTrip or Goibibo, and no calendar link to import or export. App bookings are added by hand, and you close website bookings on the apps yourself. That makes SitesPlaced a good main calendar (one place, every room, every source), with the five-minute rule doing the job of the sync. More on the booking side is on the free booking engine page.

If it happens anyway

Call the guest who booked second, today, not the evening before arrival. Apologise without excuses. Offer a similar or better room at a nearby stay you trust, and pay any difference yourself; keep two or three neighbours’ numbers for exactly this. Refund anything they paid in full if they prefer. If the booking came through an app, read its host cancellation rules before you cancel, because apps can charge hosts for cancelling or lower their ranking. Then work out which step failed and fix that step, not just that booking.

Frequently asked questions

Does iCal calendar sync stop double bookings?

It reduces them but does not stop them. An iCal link only tells another site which dates are blocked, and the other site checks it every few hours, not instantly. If two guests book the same night on two sites inside that gap, you are double-booked. It also carries no guest names, prices or guest counts, so a hand-kept main calendar is still needed.

How often does Airbnb sync imported calendars?

Airbnb’s help centre (October 2026) says imported calendars update automatically every 3 hours, and you can press Refresh to update sooner, but only a limited number of times. Other sites set their own timing. So assume any calendar link can be a few hours out of date.

Do I need a channel manager for a small homestay?

A channel manager is paid software that updates your free rooms and prices on several apps at once. It helps most when you have many rooms on several apps and bookings arrive every day. With a handful of rooms on one or two apps, one main calendar and a five-minute rule (add every booking and close the other apps straight away) is usually enough.

Does SitesPlaced sync with Airbnb or Booking.com?

Not yet. There is no automatic sync or calendar link with Airbnb, Booking.com, MakeMyTrip or Goibibo. You add bookings from those apps by hand on your SitesPlaced calendar, choosing where each came from, and close the matching nights on the apps yourself. Once a booking is on the calendar, that room-night cannot be sold again on your website or added twice by hand.

What should I do if two guests have booked the same room?

Tell the guest who booked second straight away, by phone, and apologise. Offer a similar or better room at a nearby stay, paying any difference yourself, or a full refund of anything they paid. If the booking came through an app, read its host cancellation rules first, because cancelling can bring fees or hurt your ranking. Then find which step of your routine failed.

How do I stop family members taking the same booking twice?

Make one person responsible for the calendar and give everyone else one rule: no booking is confirmed until it is on the main calendar. On SitesPlaced, a room that is already on the calendar for those nights cannot be booked again, on the website or by hand.
